Run the Delinquency Report, select unpaid bills, and export data for a mail merge spreadsheet for your attorney.
County Attorneys who do not have DTAX for CA can request a delinquency report export to help create tax sale notices and delinquency mailings. Use this guide to run and export the data from DTAX.
1. Open the Delinquency Report
Launch DTAX.
Select Delinquency Report from the menu.
2. Fill out report criteria
Enter the following details:
Bill Type: Leave blank to include all outstanding bills.
Starting Tax Year: Enter the year prior to the current tax sale year (e.g., if 2021 is the current/selling year, enter 2020).
Paid/Unpaid/All: Enter U to include all outstanding (unpaid) bills.
Original or Due Amount: Enter D to display the amount due as of the due date.
Due Date: Enter the date the letters will be sent (often the end of the mailing month).
3. Preview the report
Click Preview.
Navigate to the last page using the toolbar arrows.
4. Export data for mail merge
On the last page, click Export Data for Mail Merge.
A data table will display.
5. Save the data as an Excel file
Click the Export Report icon in the toolbar (first icon).
When the File Explorer opens:
Choose a save location (e.g., Desktop).
Enter a file name.
Set Save as type to: Microsoft Excel Data Only (.xls)*.
Click Save.
6. Confirm and share the file
When prompted, click OK to confirm the export.
Verify the saved file.
Attach the file to an email and send it to the County Attorney.

This process is specifically for County Attorneys without DTAX access.
Use the exported .xls file for mail merge to create delinquency notices prior to the tax sale.
